Terms and Conditions
Please note that there are additional Terms & Conditions specific to the CodeABot hackLAB. These can be found further down this document and ticking the agreement box signifies agreement to these T&C’s for all hackLAB participants as well as the General terms and conditions.
General
- To partake in CodeABot activities clients are required to do the following online:
- REGISTER a profile
- CHECKOUT the particular course to be purchased
- Accept the Terms and Conditions
- All clients are required to fill in the online registration form in full. All parents, guardians and learner details that are submitted are used for communications between CodeABot and the client. It is the responsibility of the client to supply accurate and up to date information and notify CodeABot of any changes.
- By partaking in any classes at CodeABot, whether in person, blended or online classes, learners, his/her parent(s), guardian(s), or sponsor(s) agree to the privacy policy.
- We require an 80% attendance record to consider a course as completed. Learners may select to redo a course, or move on to another course at their own discretion, but CodeABot advises that anything less than 80% attendance is likely to result in knowledge gaps.
- Clients may book either courses, workshops or online classes.
- We are closed on public holidays and class times and days will vary in weeks where public holidays fall. During school holidays, the normal program is suspended for a separate holiday program available at an additional fee, at the discretion of CodeABot.
- Our office administration hours are from 11h00 – 17h00. It is recommended to make an appointment for in-office enquiries.
- Our phones are manned within the same time period. From time to time staff do answer queries outside of these hours. Please note that this does not negate the fact that our office hours are only from 11h00 – 17h00.
- Learners are to wash their hands with soap and water upon entry in order to protect the equipment.
- Access to classrooms is only for registered learners. Parents and siblings are asked to wait in the car, or outside on the verandah.
- All learners need to be collected within 5 minutes of the class ending. The onus of child safety is on the parent / guardian after the learner exits the classroom. Learners are welcome to wait on the verandah for parents / guardians. CodeABot does not oversee who collects learners after a class.
- Gift Vouchers are valid until 1 December 2023 and are non refundable.
Fees
- Our fees are R600 per month. This excludes licences, workshops, events, holiday programs, optional equipment.
- Additional expenses for private classes are R300 per session.
- Catch-up lessons and late start classes – costs vary.
- By completing the online submission, the learner’s parent / guardian is liable for the full payment, unless cancelled in writing to info@codeabot.co.za 14 working days prior to the first class. Fees will be refunded less the payment gateway charges. If not cancelled within this time period, only 50% of the registration fees will be refunded after 14 banking days. For technical difficulties in the booking and checkout process, clients have 24 hours to reverse transactions. If the payment gateway, Peach payments, has not processed the transaction, a full refund will be given. Otherwise banking charges and payment gateway charges will be deducted.
- A booking can only be transferred to another learner of similar age and experience as per the original learner.
- The fee is payable upfront and in advance when booking the course.
- Monthly fees are to be settled by the first of the month, irrespective of whether an invoice was received or not.
- A full calendar month’s notice is required for cancellation. Payment for the notice month will be payable, irrespective of whether or not the learner actually attends the classes. It is, however, recommended that learners try to complete a robot module before leaving the course.
- Scholarship learners must fill in the Google review within 3 months of taking up the scholarship programme.
- CodeABot, reserves the right to postpone or cancel skills programmes due to lack of demand. In the event of cancellation, as opposed to postponement, all fees will be refunded.
- Holiday programmes, workshops and competition fees are over and above course fees and monthly fees.
- CodeABot badges are for the learners own account at a cost of R30 each.
- If you make a cash deposit, you need to add R20 to the fee in order to cover bank deposit fees.
Legal Declaration of Indemnity
- Learners are expected to listen to instructions in order to assist us in keeping them safe in the classroom. Due to the nature of workshop skills and learners’ inexperience, learners may from time to time experience burns from heat guns and glue guns if instructions are not carefully followed. Parents may opt to send well-fitting gloves for protection. It is the learner’s responsibility to wear the gloves.
- Closed shoes are recommended for the classes. If clients opt not to wear closed shoes, the onus of liability falls to the parent / guardian.
- The learner, his/her parent(s), guardian(s), or sponsor(s) hereby indemnifies CodeABot, the owner of CodeABot, and all CodeABot employees, against any and all claims made against CodeABot, the owner of CodeABot, and all CodeABot employees, in respect of any damage arising out of the fault of the applicant.
Informed Consent
- By attending classes, all learners will have photographs taken which will be uploaded to the CodeABot private drive for administrative purposes. Our POPI policy can be found below.
- Photographs of classes will be used for social media and marketing purposes, unless a written letter is provided by the parent / guardian denying consent.
Additional terms of enrolment
- The learner’s failure to attend classes for whatever reason shall in no way entitle him / her to a reimbursement in fees or a catch up class.
- An 80% attendance is required to receive a Certificate of Completion.
- We are unable to catch learners up by swapping out classes.
- We may from time to time assist with private classes at our discretion to assist special cases such as family deaths etc. These are charged at R300 an hour.
- CodeABot shall have the right to vary the program syllabus should the facilitator feel it will enhance the learner’s experience.
- Learners shall be held financially liable for destruction of equipment if it is as a result of not listening to a facilitator or disrespect for CodeABot property.
- The Micro:Bits course costs do not include all materials for projects. Cost may vary but please budget on approximately R300.
Processing of Personal Information of Children Who Attend CodeABot
CodeABot includes on site classes at our premises, online interactions, robotics and coding events, school outings and hackLAB interactions.
Communication can include face to face, telephonic, email, social media and communication apps such as WhatsApp (or any mode the client selects to communicate with CodeABot).
Child means a natural person under the age of 18 years who is not legally competent, without the assistance of a competent person, to take any action or decision in respect of any matter concerning him or herself.
CodeABot collects the following information from clients:
Parent’s names and surnames
Parent’s telephone numbers
Parent’s home address
Parent’s e-mail
Parents payment history
Child’s names and surnames
Child’s telephone numbers
Child’s e-mail
Child’s School and Grade
Child’s course registration history
Child’s absenteeism history
Child’s image
A sample record of all work done and images of work done.
Photos of the child within the classroom environment
- The above information is processed in house in order to manage processes such as: invoicing and payments
- Record keeping of children’s progress
- Recommending learning pathways for children
- Printing certificates
ALL IMAGES OF LEARNERS MAY ALSO BE USED ON OUR SOCIAL MEDIA PLATFORMS AND WEBSITE FOR PROMOTIONAL PURPOSES.
Data of all parents and children are kept on record, even if the client is not currently active in order to allow clients to request information or to return at a later date for further classes.
